Updated on 6 November 2026

Eja Translation and Consulting Ltd (“Eja Consulting”, “we”) takes your privacy seriously. To prepare a visa application you entrust us with very personal documents, and this policy explains clearly what data we collect, why we use it, who we share it with and what your rights are, both when you visit ejavisa.com and when you use our consultancy and translation services.

1. Who we are

The controller of your personal data is:

2. What data we collect

When you contact us

When you fill in the contact form, write to us by email or on WhatsApp, or call us, we collect your name, email address, phone number, the service you are interested in and the content of your message.

When you book an appointment

Online booking is done through Calendly. There you provide your name, email, the date and time of the appointment and any other information you choose to add.

When you use our services

To assess your case and prepare your application, we may need:

  • identification data: name, date of birth, nationality, passport or identity card;
  • contact details and address;
  • family details, e.g. about your spouse, children or relatives who are inviting or accompanying you;
  • details of employment, income and finances, e.g. salary certificates and bank statements;
  • details of education and of your travel history and previous visas;
  • other documents required by the relevant authority for the type of visa you are applying for.

In particular cases, e.g. for medical treatment, we may need health information. We ask for this only when it is essential for the application and only with your explicit consent.

Technical data

When you visit the website, the server and our technical providers automatically record data such as your IP address, browser type and the pages visited. This data is used only for the operation and security of the website.

3. Why we use it and on what basis

  • To reply to you and advise you before you decide on the service, at your request.
  • To provide the service you have entrusted to us: assessing your case, preparing documents, translations, completing the application and guidance for the appointment.
  • To meet our legal obligations, e.g. accounting and tax obligations.
  • For the security of the website and of data, on the basis of our legitimate interest.
  • With your consent, where the law requires it, e.g. for health data.

We do not sell your data and we do not use it for personalised advertising.

4. Who we share it with

We share your data only when it is necessary for the service and only to the extent required:

  • The authorities that decide on the visa and the official application centres, e.g. UK Visas and Immigration, embassies and visa application centres, on your instructions and for your application.
  • Licensed translators and notaries, when a certified translation of documents is required.
  • Technical providers that help us operate: website and email hosting, Cloudflare (website security and speed), Calendly (bookings), WhatsApp/Meta (messages) and Google (the website’s map and fonts).
  • Public authorities, when required by law.

5. Transfers outside Albania

By the nature of the service, application data is sent to the authorities of the country you are applying to, e.g. the United Kingdom, the United States or the European Union. Some of our technical providers process data outside Albania. In these cases we transfer only the data that is necessary and we work with providers that apply recognised data protection standards.

6. How long we keep it

We keep data for as long as is necessary for the purpose for which we obtained it: for the service and for following up your application, and for as long as the law requires us to, e.g. for accounting records. After that we delete or anonymise it. You can ask at any time for copies of your documents that are no longer needed to be returned or deleted.

7. How we protect it

Access to your documents is limited to the staff working on your case, who are bound by a duty of confidentiality. We use technical and organisational measures to protect data from loss, unauthorised access or misuse.

8. Cookies

The ejavisa.com website does not use advertising cookies. Only technical cookies needed for the security and operation of the website are used, together with login cookies for administrators. When you use embedded services such as the Calendly calendar or Google Maps, these may set their own cookies in line with their own privacy policies.

9. Your rights

Under Albanian personal data protection legislation, you have the right:

  • to know whether we process your data and to receive a copy of it;
  • to request the correction of inaccurate or incomplete data;
  • to request its deletion, when there is no longer a legal reason to keep it;
  • to request restriction of processing or to object to processing;
  • to withdraw at any time any consent you have given.

For any request, write to us at [email protected]. We will reply within the legal time limits. If you believe your rights have not been respected, you have the right to complain to the Commissioner for the Right to Information and Personal Data Protection (idp.al).

10. Minors

We handle applications for minors only through a parent or legal guardian, who also provides the necessary information and documents.

11. Changes

This policy may be updated when our services or the legal rules change. The date of the latest update is shown at the top of the page.
